Use of Auxilary Dining Room
 Purpose:

This document establishes the policy for use of the auxiliary dining rooms located in the Dining Commons, i.e. the
Trustees and Alumni Dining Rooms and the space located at the south end of the Dining Commons which can be closed
off with the portable wall (hereafter referred to as South Area) or South area East (near the street) or West (near the
library) when divided in half.)

Availability:

       a. The auxiliary dining room space is available to campus groups during any regularly scheduled meal time and at
       other times when the Campus Center is open, by reservation with the Food Service Office. The South Area will
       not normally be scheduled during the noon meal except for notable occasions in the college calendar, e.g.
       Founders' Day, Parents' Weekend, occasions sponsored by the Development office, etc.
       b. If the Trustees and Alumni Dining Rooms have been scheduled, the same guidelines will be used for
       scheduling the South Area. Normally the South Area will not be scheduled if either of the other private dining
       rooms can accommodate the request. The south Area will only be scheduled during the noon meal with the
       specific approval of the Dining Hall Manager.

Reservations: Reservations can be made during business hours no earlier than three months in advance. Reservations
will be made using the priority scheme listed below. Higher priority groups have preference until two weeks in advance of
the date of use, at which time the reservations are confirmed.

Priority for Use: The following priority scheme will be used to confirm reservations in the auxiliary dining space.

       a. First Priority- Activities involving the Board of Trustees, the Alumni Association, the President's Advisory
       Committee on Excellence in Education, or the Willard J. Houghton Foundation. Activities sponsored by the
       President of the college.
       b. Second Priority- Official activities of the college, e.g. meetings being sponsored by the college administrators,
       academic divisions or departments (not regularly scheduled classes), standing committees of the college.
       c. Third Priority - Activities sponsored by recognized campus groups, e.g. academic activities (not actual course
       sessions), campus clubs and organizations, class organizations.
       d. Fourth Priority - Activities sponsored by community groups, e.g. groups sponsored by the local church, Anna
       Houghton Daughters, Rotary Club.
       e. Fifth Priority - Activities of individuals of a personal nature, e.g. birthday parties, wedding receptions, private
       parties.
       f. Examples used in each priority category are meant to be illustrative, not inclusive. In the event of questions
       about which priority category describes a particular group, assignment to a category will be made by the Vice
       President for Finance.
